How this was built: source-check of KUT’s four English SSP pages plus the live supervisor list – process map, not first-hand enrollment. Goal: stop you spending translation and courier money before a supervisor has said you may apply.

This is a gate, not a brochure.
- You are hunting a specific SSP project under a named KUT supervisor. If you only want “any funded Japan PhD,” this programme will waste your cycle.
- You can clear KUT’s bar in principle: master’s-equivalent after 18 years of schooling (or on track before enrollment), age 35 or under at enrollment, English floor or KUT’s exemption path, and a record strong enough that a busy supervisor will answer you.
- You accept the hard limits KUT actually publishes: at most three SSP students per supervisor at once; pre-application to at most two supervisors per entry period; formal pack must arrive by post; permission is not admission.
Fail any filter → close this tab and use KUT’s outline. Encouragement will not change the rules.
What SSP pays – and what still leaves your bank account
Quote KUT, do not market-speak it.
Waived / paid by SSP: entrance exam fee 15,000 yen; enrollment fee 300,000 yen; tuition 535,800 yen per year for three years; monthly payment 150,000 yen for three years; one-time 150,000 yen travel/initial living only if you live outside Japan and enter (or intend to enter) on Student status.
Still yours to cover (examples KUT publishes on the outline): International House / Takasone C dorm entrance fee 30,000 yen. Monthly living sketches – Kami campus area about 125,000 yen, Eikokuji about 140,000 yen (food, utilities, national health insurance; figures dated on KUT’s outline, including the September 2024 exchange note). A frugal month can fit inside the stipend. A “free lifestyle on top” cannot. Win another scholarship and KUT may cut the monthly payment. Miss reporting or ethics rules and benefits can pause.
One process – working backwards from 16 October 2026

Compressed into eight moves: read the four official pages and supervisor list → defend a project, not a famous name → pre-apply to one or two labs → treat day-14 silence as closed → with permission, choose one → build the file from KUT’s document list → post for arrival and keep tracking → prepare for screen-out (interview is not automatic).
Supervisor choice – where the cycle actually turns
Open one supervisor-list row and read it like a capacity check, not a brochure: project title, required skills, recent papers, and whether three SSP students already sit there (KUT’s concurrent cap). A famous name with a full lab is a closed door dressed as prestige.
Unusable pre-application (burn a slot): “I am passionate about engineering and Japanese culture. Your lab is world-class. Please accept me.” No method, no result, no next experiment.
Usable pre-application (earn a reply): two or three sentences – the method you already run, one concrete thesis or paper result, and why this project’s next experiment needs that skill. If you cannot name the next experiment from their list entry, you are not ready to pre-apply.
Same paragraph pasted to two unrelated labs burns both of your allowed contacts. Permission means “you may post a file.” It does not mean “you have a seat.”
Research Outline – a one-page skeleton (editorial, not a KUT form)
KUT wants planned work across years 1-3 in about one English page. Fill it against a real list entry:
- Year 1: problem, data or setup, first experiment or model, coursework load while you ramp.
- Year 2: main results and a paper target – KUT expects at least one peer-reviewed paper by final defense.
- Year 3: remaining work, dissertation, defense window.
Write two constraints into the outline itself: English-taught engineering PhD; SSP culture pushes past the minimum one paper. Do not invent a sample lab you never opened on the supervisor list.
Documents – failure points only
Do not rebuild KUT’s checklist from memory. Use the official document list. The packs that die usually miss:
- Supervisor permission evidence plus the signed last page of the pre-application PDF
- Originals or verified translations; provisional master’s papers if you are still enrolled
- Thesis in English, or English abstract exactly as KUT specifies
- Two recommendation letters on KUT’s forms (not free-form letters)
- Health certificate inside the issuance window KUT states
- English score – or KUT’s published exemption case only (do not invent substitute tests)
Formal documents are not accepted by email. Arrival date ≠ drop-off stamp.
After a yes – obligations, not a victory lap
- Three years enrolled; at least 10 doctoral credits
- Preliminary exam at least a year before the final public defense
- At least one high-level peer-reviewed paper by defense (special cases exist; SSP culture is multiple papers)
- Semester reporting and ethics; benefits can be suspended if obligations slip
- Dissertation abstract / full text web publication rules
- Other funding: if you win another scholarship, KUT may adjust or offset the monthly SSP payment
- Export control: international students sign a security export-control pledge – it can block work on controlled topics even after admission

- Pre-app in week 7 when KUT asked for about eight
- Courier planned while the supervisor is still silent at day 14
- Treating permission as admission
- Emailing the formal pack
- Confusing drop-off date with Japan arrival date
- Matching an April enrollment row to an October plan
- Identical proposal to two unrelated labs

Can I apply with no supervisor contact?
No. Pre-application permission is the gate to the postal file.
Two supervisors say yes – then what?
Choose one for the postal file. You do not mail two packs.
Does every complete file reach interview?
No. Document screening can end the process before the online interview.
